Keio Center for Strategy at Keio University (hereinafter "the Center") establishes this Privacy Policy (hereinafter "this Policy") regarding the handling of users' personal information in connection with the services provided on this website (hereinafter "the Services"), in accordance with the Keio University Basic Policy on Personal Information Protection (https://www.keio.ac.jp/ja/privacy-policy/).

Article 1 (Personal Information)

"Personal information" refers to "personal information" as defined under the Act on the Protection of Personal Information, meaning information relating to a living individual that can them through descriptions such as name, date of birth, address, telephone number, contact details, or other such information, as well as data pertaining to facial appearance, fingerprints, or voice data, and information that alone can identify a specific individual, such as a health insurance number (individually identifiable information).

Article 2 (Methods of Collecting Personal Information)

The Center may request personal information — including name, institutional affiliation, address, telephone number, email address, and other information entered in forms — when users register for the newsletter or submit inquiries.

Article 3 (Purposes of Collecting and Using Personal Information)

The Center collects and uses personal information for the following purposes:

To distribute the newsletter and provide information on seminars, events, and other activities organised by the Center

To respond to inquiries from users (including identity verification)

To communicate necessary information such as maintenance notices and important announcements

To process donation-related procedures

To send other communications necessary for the operation of the Center

To identify and refuse service to users who attempt to use the Services for improper or unauthorised purposes

For purposes incidental to the above

Article 4 (Changes to Purposes of Use)

The Center may change the purposes for which personal information is used only where such changes are reasonably deemed to be related to the original purposes. Any changes to the purposes of use will be announced on this website.

Article 5 (Provision of Personal Information to Third Parties)

The Center will not provide personal information to third parties without the prior consent of the user, except in the following cases, and subject to exceptions permitted under the Act on the Protection of Personal Information and other applicable laws:

Where necessary to protect the life, body, or property of an individual and it is difficult to obtain the consent of the person concerned

Where necessary to carry out donation processing or public relations activities in cooperation with the Keio University administrative office or similar bodies

Notwithstanding the above, the following shall not be deemed provision to third parties:

Where the Center entrusts all or part of the handling of personal information to a third party to the extent necessary to achieve the purposes of use

Where personal information is provided in connection with a business succession resulting from a merger or other such event

Article 6 (Disclosure of Personal Information)

Upon request by the individual concerned for disclosure of their personal information, the Center will disclose such information without delay. However, the Center may withhold all or part of the information if disclosure falls under any of the following, and will notify the individual of such a decision without delay:

Where disclosure is likely to harm the life, body, property, or other rights and interests of the individual or a third party

Where disclosure is likely to significantly impede the proper conduct of the Center's operations

Where disclosure would violate applicable laws or regulations

Notwithstanding the foregoing, information other than personal information, such as browsing history and attribute data, will not in principle be disclosed.

Article 7 (Correction and Deletion of Personal Information)

Users may request that the Center correct, add to, or delete (hereinafter "Correction") any personal information held by the Center that is inaccurate, in accordance with procedures established by the Center.

Where the Center receives such a request and determines that it is necessary to comply, it will carry out the Correction without delay.

Where the Center has carried out a Correction or has decided not to do so, it will notify the user without delay.

Article 8 (Suspension of Use of Personal Information)

Where the Center receives a request from an individual to suspend or delete the use of their personal information (hereinafter "Suspension") on the grounds that it is being processed beyond the scope of the stated purposes or was obtained by improper means, the Center will conduct the necessary investigation without delay.

Based on the results of such investigation, where the Center determines that it is necessary to comply with the request, it will carry out the Suspension without delay.

Where the Center has carried out a Suspension or has decided not to do so, it will notify the user without delay.

Notwithstanding the above, where a Suspension would involve substantial costs or would otherwise be difficult to implement, and where alternative measures can be taken to protect the rights and interests of the user, the Center may adopt such alternative measures.

Article 9 (Changes to this Privacy Policy)

The content of this Policy may be changed without notice to users, except as otherwise provided by applicable laws or regulations or by this Policy. Unless otherwise specified by the Center, any revised Privacy Policy shall take effect upon publication on this website.
